Raid Helper Privacy Policy

1. Scope
This policy explains what data is processed when using the Raid Helper Discord bot, the raidhelper.pl dashboard and Premium features. Premium payments may be handled by Discord Monetization or Stripe.
Raid Helper operates in the Discord environment, so some data is also processed by Discord under Discord's documents.
2. Data we process
- Discord identifiers: guild_id, user_id, role_id, channel_id, message_id, thread_id;
- server names, channel names, role names, avatars/icons and user display names when Discord provides them to the bot or dashboard;
- server settings: language, timezone, channels, roles, modules, limits, game profiles and embed settings;
- event data: names, times, types, roles, slots, signups, roster, parties, additional information, links, statuses and change history;
- Premium module data when enabled: refunds, settlements, VOD/POV, presets, automations, battle notifications and embed customization;
- dashboard audit logs showing who changed which configuration and when;
- dashboard session data, language preferences and technical Discord OAuth login data needed to maintain the session;
- a one-way, secret-keyed IP hash for aggregate statistics and abuse prevention, together with the visitor country resolved locally on the server; raw IP addresses are not stored in page-view statistics or sent to an external geolocation service;
- technical Premium data from Discord: product/SKU ID, entitlement/subscription ID, status, related guild_id and active dates if provided by Discord;
- for Stripe: technical order data needed to activate and support Premium, including order, Checkout Session, payment, customer or subscription identifiers, selected package, amount, currency, status, related discord_user_id and discord_guild_id, and the Checkout e-mail address used for confirmations;
- technical security and diagnostics data, such as request time, error type, response status, application logs and basic information needed to detect abuse.
Raid Helper does not store card numbers, bank account details or full billing details. Payment-instrument data is entered directly with Discord or in Stripe Checkout; Raid Helper retains only the technical data needed to link payment to an account and server.
3. Purposes and legal bases
- operating the service, server configuration and event handling - performance of the service;
- Discord OAuth dashboard login - performance of the service and access security;
- Premium access based on Discord entitlements/subscriptions or verified Stripe payment and subscription events - performance of the service;
- audit logs, security, backups, error diagnostics and abuse prevention - legitimate interest of the operator;
- complaints, contact, legal notices and correspondence - legal obligations and legitimate interest;
- compliance with legal requirements, including tax or accounting duties if they arise - legal obligation.
4. Voluntary or required data
Providing data is voluntary, but necessary to use the bot, dashboard, Discord OAuth login, server configuration and Premium features. Without required data, some features will not be available.
Server member data may be provided to the service when the server administrator uses signups, roles, rosters, refunds, settlements or other operational modules.
5. Server administrators and community members
The server administrator decides whether to add the bot to a server, which modules to enable and what data to enter into events. The server administrator should inform community members about bot usage where required by law, server rules or the nature of the processed data.
If a server member wants data related to a specific Discord server removed, the request should generally come from the server owner or a person with administrative permissions to avoid deletion of community organization data by an unauthorized person.
6. Data controller and contact
The data controller is Mateusz Szerenos, operating as an unregistered small business activity under Polish law.

7. Discord, Stripe and payments
Discord is a separate party for Discord services, Discord accounts and current payments processed through Discord Monetization. Discord documents also apply to payment data, payment methods, taxes, invoices, subscription cancellation and refunds.
Raid Helper only receives or reads the technical data needed to determine whether a given Discord server has active Premium access.
When Stripe is selected, Raid Helper sends Stripe the technical data needed to create a Checkout Session, including the selected Price identifier and metadata containing the order, Discord user and Discord server identifiers. Stripe independently processes payment and billing data under its own privacy policy.
8. Data recipients
Data may be processed by infrastructure providers needed to operate raidhelper.pl, the e-mail provider, Discord, Stripe, administrative tools and persons supporting technical maintenance. Data is not sold to third parties.
Data may be disclosed to authorized public authorities if required by applicable law.
9. Transfers outside the EEA
Some data may be processed outside the European Economic Area by Discord or other technology providers. Such transfers take place according to mechanisms used by those providers, in particular appropriate legal safeguards where required.
10. Retention
- server settings are stored for as long as the bot operates on the server or until deletion is requested by an authorized administrator;
- event and operational module data may be stored for up to 180 days after the event ends, unless the server administrator deletes it earlier or a longer period is needed for disputes, complaints, abuse handling or legal duties;
- dashboard audit logs may be stored for up to 12 months;
- technical Premium data, Stripe subscription events and technical order and payment-confirmation data may be stored for the time needed to handle access, complaints, accounting and legal claims;
- dashboard session data is stored for the time needed to keep the user logged in or until logout/session expiry;
- backups and technical logs may be stored for the time needed to ensure security, restore the service and diagnose errors.
11. Your rights
To the extent provided by GDPR, you may request access, rectification, deletion, restriction, portability, objection and information about processing.
You may also lodge a complaint with the Polish data protection authority. For data matters, contact admin@raidhelper.pl.
Handling some requests may require confirming that the requester is authorized to act for a specific Discord server or Discord account.
12. Cookies and security
The dashboard uses session cookies to maintain login, protect the session and remember the interface language. Dashboard access should be made over HTTPS.
The operator uses technical measures intended to limit unauthorized access to data, including restricted administrative access, system permissions, event logging and per-guild_id data separation. However, no internet service can guarantee absolute security.
13. Automated decisions
Raid Helper does not use data for automated decision-making producing legal effects for the user within the meaning of GDPR. The bot may automatically apply technical configuration rules, such as Free/Premium plan limits, thread closing or refusing a module if the module is not enabled.
14. Changes to this policy
This privacy policy may be updated due to changes in law, Discord API, Discord Monetization, active payment providers, service features or technical infrastructure. The current version is always available on this page.
